• Available space A flat, open area at least 20×20 ft with a clear sightline to the screen — more room for bigger guest counts.
• Power access A nearby outdoor outlet, or confirmation that generator power works for your site — our gear typically needs a dedicated 20-amp circuit.
• Vehicle access A path our crew can drive equipment through to the setup area — no stairs-only entrances or narrow gates in the way.
• Sprinklers & underground utilities Sprinklers turned off for the event window, and utility lines marked (call 811 / Dig Safe first) if ground stakes will be used.
• Seating plan Blankets and lawn chairs, provided seating, or a mix — and roughly how much space to reserve per group.
• Noise restrictions Local ordinances or HOA rules on amplified sound cutoff times, especially for evening events running late.
• Rain location A backup indoor space or a rain date — outdoor movie nights are weather-dependent, so it’s worth deciding this before, not during.
• Movie license Public performance rights secured for the title you’re showing — see our Movie Licensing guide if you’re not sure what’s required.
• Concessions Whether you want popcorn, snacks, or drinks on-site, and where a concession table or stand will go relative to seating.
• Restrooms & lighting Restroom access nearby (or a plan for portable units), plus pathway lighting for guests arriving or leaving after dark.
